How to compare water-heater replacement quotes

Tank volume alone does not describe hot-water delivery, and switching fuel or technology can move work into electrical, gas, venting, or condensate scope.

Short answerAsk for exact model, technology, storage volume, first-hour rating or rated flow, efficiency metric, fuel and electrical requirements, venting, drainage, permits, disposal, and warranty.

What the official record says

The Department of Energy defines first-hour rating as an estimate of how many gallons a fully heated storage water heater can supply in the first hour. DOE also distinguishes storage, instantaneous, and heat-pump consumer water heaters in its product definitions. These measures help compare equipment, while installation scope depends on the home. A heat-pump model may add space, condensate, air-volume, noise, and circuit questions that a like-for-like tank quote does not contain.

What to check on the document

Normalize the equipment before comparing labor. Confirm whether the proposal is a direct replacement, a technology conversion, or a relocation.

  • Record model, tank volume, first-hour rating or flow, efficiency rating, fuel, voltage, and warranty.
  • Identify gas, vent, flue, circuit, disconnect, drain pan, condensate, expansion, seismic, and mixing-valve work as applicable.
  • Assign permit, inspection, delivery, old-unit disposal, finish repair, startup, and owner instruction.

How to use the result

Compare quoted capacity with the contractor’s stated household-use assumptions rather than using gallons alone. Ask what existing conditions could trigger a change order and how those items will be priced. The decode can identify omissions and public equipment data. It cannot size the heater, test the gas or electrical system, or inspect venting and drainage.

A useful comparison holds scope constant. Equipment model, quantity, removal, disposal, permits, labor, finish work, warranty, and payment schedule can move the total even when two proposals describe the same trade. We read the document and name missing comparison fields. We do not inspect the property, size equipment, or decide whether a contractor is honest.
